Invite your team
Add staff once, at the account level
Owners and admins add company staff as admins or members. The event’s operational team then brings in the people each event needs, including external collaborators.
Assign roles per event
The right access, event by event
Place members onto an event with one role and a precise set of permissions. The same person can do more on one event and less on another, and access never spills across events.
Sponsor and exhibitor access
Let exhibition managers run their own stand
Assign a sponsor’s exhibition manager and let them manage their own attendees. They control their onsite operation staff themselves, within the access you allow.
INVITE YOUR TEAM
Bring people in the right way, the first time
When you create your account you are the owner. From there you build your team, internal staff and external collaborators alike, each joining with a welcome that matches their role.
01
COMPANY STANDINGS
Company standings, including a finance view
Everyone in your company holds one standing: owner, admin, accounting, or member. Owners and admins bring new people in and place them onto events. Accounting is an account-level role for finance, and members do the work they are assigned.
The account creator is always the owner
Admins can add members and place users onto events
Accounting sees the overall finance and every event’s finance
Members are assigned to events, and never assign themselves

02
INTERNAL AND EXTERNAL
Internal and external, handled differently
Internal staff are assigned directly and their role is live straight away. External collaborators are people from outside your company that you bring in per event: a client following along, a sponsor’s exhibition manager, event staff at the door, or a lead scanner at a stand. They receive an invite they can accept or decline, so no one is added to work they have not agreed to.
Internal users are assigned and active, no acceptance needed
External roles include client, exhibition manager, event staff, and lead scanner
External users accept or decline, and a decline notifies the organiser
ASSIGN ROLES PER EVENT
One role per event, with exactly the right access
Access is set event by event. A member is placed onto an event with a single role and a precise set of permissions, so the same person can run one event and do less on another.
Per-event scope
The same person, different access on different events
There is no single account-wide permission set for a member. Each event carries its own assignment, so someone can be a project manager on one event and an operator on another, with the permissions adjusted to match each role.

03
A CLEAR ORDER
A clear order of who assigns whom
Owners and admins assign members to the company and place them onto events, choosing each person’s role and permissions under Event details. Project manager and operator describe what a placed person does; the function comes from the permissions they are given. The arrangement stays predictable and easy to audit.
Owners and admins assign members and place them onto events
One role per person per event, with as many project managers or operators as you need
Operators run specific areas, defined by their permissions

04
INDEPENDENT ACCESS
Access that stays put when people change
Every assignment stands on its own. If you remove an admin, the people they assigned keep their access, so a single change never quietly knocks out an event team. Anyone whose access is removed is notified.
Removing an assigner does not cascade to the people they added
Each user is notified when their access is removed
Assignments are an event record, not a live dependency
SPONSOR ACCESS AND ACCOUNT CONTROL
Let exhibitors run their own stand, while you stay in control
Give a sponsor’s exhibition manager the access to manage their own attendees and run their onsite team, so they handle their stand day to day. You keep overall control, including who holds the account itself.
05
EXHIBITION MANAGERS
Exhibition managers run their own attendees and team
When you assign a sponsor’s exhibition manager, they can manage their own attendees and control their onsite operation staff themselves. They build and adjust their stand team without coming back to you for every change, while you decide what they are allowed to do.

Add and adjust their onsite operation staff themselves
All within the access you allow, on this event only

06
OWNERSHIP CONTROL
Ownership that cannot change by accident
Because ownership carries billing and full control, it is never transferred from inside the account on a whim. An ownership transfer to another account goes through Entryvent, so the change is deliberate, approved, and recorded.

The change is recorded, not silent
07
ACCOUNTING VIEW
Give accounting the whole financial picture
The accounting standing is an account-level role for finance. It opens the overall finances across your business and the finances of every event, so your accountant has the full picture without being given control over your events.
