Your terms of use as an attendee

1. About these Terms

1.1 Who we are

These Attendee Terms of Service (“Terms”) are between you and Entryvent Tickets Selling (“Entryvent”, “we”, “us”), a Sole Establishment registered in Dubai, United Arab Emirates under trade licence number 1467049, with registered office at Suite 907, Dusseldorf Business Point, Al Barsha 1, Dubai, UAE.

1.2 When these Terms apply

These Terms apply when you:

  • Browse Events on the Entryvent marketplace at tickets.entryvent.com
  • Register for, purchase a ticket to, or attend an Event powered by Centra
  • Create an Attendee account on entryvent.com to manage your bookings
  • Use any other part of the Service in your capacity as an Attendee

By doing any of the above, you agree to these Terms. If you do not agree, please do not use the Service.

1.3 Other terms that may apply to you

In addition to these Terms, the following also apply:

  • Our Privacy Policy explains how we handle your personal data
  • Our Community Guidelines describe what is and is not allowed on the platform
  • The Organiser’s own terms apply to your contract with the Organiser for the Event itself, including any refund, cancellation, attendance, and conduct rules. Please read those carefully before registering

2. Defined terms

The following definitions apply throughout these Terms:

Term Meaning
Account An Attendee account you create on entryvent.com to manage your bookings across multiple Events.
Attendee You, when you register for, purchase a ticket to, or attend an Event powered by the Service.
Centra Entryvent’s web-based event management platform used by Organisers to publish and run Events.
Event An event published on Centra by an Organiser.
Marketplace The Entryvent public Event listings at tickets.entryvent.com.
Organiser The person or entity that creates, hosts, and runs the Event you register for. Your contract for the Event is with the Organiser, not with Entryvent.
Service The Centra platform together with related Entryvent products and websites.
Ticket The right to attend an Event, as recorded on the Service and represented by a unique QR code.

3. Your relationship with Entryvent and the Organiser

WHY THIS SECTION MATTERS

Many Attendees assume that the platform they buy a ticket through is the seller of the Event. That is not the case here. This section explains who is actually responsible for what.

3.1 Entryvent is a platform, not the seller

Entryvent is not the seller, host, or producer of any Event. We provide the technology that lets Organisers publish Events, sell Tickets, and manage registrations. The Event itself, including its content, programme, venue, format, pricing, and refund rules, is the responsibility of the Organiser.

3.2 Your contract for the Event is with the Organiser

When you register for or buy a Ticket to an Event, you enter into a contract with the Organiser. The Organiser is responsible for delivering the Event you paid for. If something goes wrong with the Event itself, your contract is with the Organiser, and you should contact them.

3.3 What Entryvent is responsible for

Our role is limited to providing the Service. We are responsible for:

  • Operating Centra and the marketplace, and keeping them reasonably available
  • Processing payments through the payment provider the Organiser has selected (see Section 7)
  • Providing your registration receipt and Ticket QR code
  • Handling your personal data in accordance with our Privacy Policy

3.4 What the Organiser is responsible for

The Organiser is responsible for everything else, including:

  • The accuracy of the Event listing (description, date, location, programme, pricing)
  • Setting and applying the refund and cancellation policy for the Event
  • Running the Event safely and lawfully
  • Honouring the Tickets you purchase
  • Communicating Event updates, changes, and cancellations to you
  • Resolving disputes about the Event itself
  • Compliance with local laws and any required permits (including DTCM permits in Dubai)

4. The Entryvent marketplace

4.1 What the Marketplace is

The Entryvent marketplace at tickets.entryvent.com displays Events that Organisers have chosen to make publicly visible. Each Organiser decides during Event setup whether to list publicly on the Marketplace or to keep their Event private and accessible only by direct link.

4.2 Listings reflect Organiser-provided content

The information shown on each Marketplace listing, including the Event title, description, dates, location, images, pricing, and Organiser identity, is provided and controlled by the Organiser. Entryvent does not curate, edit, or verify Marketplace listings beyond applying our Community Guidelines and our content moderation process.

4.3 No endorsement

The presence of an Event on the Marketplace does not mean Entryvent endorses, sponsors, or guarantees that Event. Search results and ordering on the Marketplace may be influenced by relevance, recency, location, and similar signals; placement does not reflect endorsement.

4.4 Reporting concerns

If you see content on the Marketplace that you believe violates our Community Guidelines, please report it to support@entryvent.com. We review every report and act in accordance with the process described in our Community Guidelines.

5. Your Attendee Account

5.1 Creating an Account

You may create an Attendee Account on entryvent.com to manage your bookings across multiple Events, save your contact details, and view your registration history. An Account is optional: you can also register for individual Events without creating one.

You can create your Account by signing up with email and password, or by signing in with Google or Facebook. Whichever method you choose, you must tick the box accepting these Attendee Terms and our Privacy Policy before your Account is created. The data we receive from Google or Facebook when you use those sign-in options is described in Section 4.7 of our Privacy Policy.

5.2 Eligibility

To create an Account, you must be at least 18 years old (or the age of majority in your jurisdiction, whichever is higher). If you are under 18, you may use the Service only with the involvement and consent of a parent or legal guardian, who accepts these Terms on your behalf.

5.3 Accuracy

You agree to provide accurate, current, and complete information when creating your Account, and to keep it updated. Information you provide is used to identify you, contact you about your bookings, and provide the Service.

5.4 Account security

You are responsible for keeping your Account login credentials confidential and for all activity that occurs under your Account. Do not share your password (where you have one), and protect your access to the Google or Facebook account you used to sign in. Notify us promptly at support@entryvent.com if you believe your Account has been accessed without your permission.

5.5 Your password is protected and under your control

Where you signed up with email and password, your password is stored securely and is not visible to Entryvent personnel. You can change your password at any time through your Account settings, or reset it through the standard “forgot password” flow on the login screen. Where you signed in with Google or Facebook, no password is held by Entryvent; access to your Centra Account depends on your continued ability to sign in with the relevant provider, and you can revoke Entryvent’s access at any time through your settings on that provider.

5.6 One Account per person

Please use one Account per person. Do not create multiple Accounts to misrepresent yourself, evade restrictions, or game any Event-specific rules an Organiser has set.

5.7 Closing your Account

You may close your Account at any time by contacting support@entryvent.com. Closing your Account does not cancel any Tickets you have already purchased, and does not entitle you to a refund for past purchases. Some information may be retained as required by law (see Section 9 of our Privacy Policy).

6. Registering for an Event

6.1 The registration process

To register for an Event, you complete the registration form the Organiser has configured, select your Ticket type, and (for paid Events) pay the price the Organiser has set. After successful registration and payment, you receive a confirmation email with your Ticket and a unique QR code.

6.2 Information you provide

The Organiser decides what information to collect at registration. This typically includes your name and email, and may also include phone number, company, job title, dietary requirements, accessibility needs, or other Event-specific questions. The Organiser is the controller of this information; how they use it is governed by their privacy notice.

6.3 Confirmations and reminders

You will receive transactional emails relating to your registration, including confirmations, reminders, and Event updates. These are operational communications and are not marketing.

6.4 The Organiser’s terms apply

By registering, you also agree to any Event-specific terms the Organiser has published or made available at the point of registration, including admission rules, refund policy, code of conduct, and venue rules. Please read those before completing your registration.

6.5 Group registration

Some Events allow one person (the “buyer”) to register and pay for multiple Attendees in a single transaction. Where you register a group:

  • You enter each Attendee’s details at the point of purchase, including their name, email address, and any other information the Organiser requires
  • You represent and warrant that you have the authority of each Attendee to provide their personal data and to register them for the Event. By submitting their details, you confirm that each Attendee is aware of and has agreed to their registration
  • You choose how Tickets are delivered. At the point of purchase, you can elect either (a) for each Ticket to be sent directly to the email address you provided for that named Attendee, or (b) for all Tickets to be sent to you for distribution. The Ticket itself is always issued in the named Attendee’s name, regardless of where it is delivered
  • Event communications follow the Ticket delivery choice. Where you choose individual delivery, Event reminders, programme updates, and similar communications go to each named Attendee at their own email address. Where you choose centralised delivery, all Event communications come to you instead, and you become responsible for forwarding them to the named Attendees in your group, including time-sensitive matters such as Event changes, cancellations, and venue or timing updates
  • You manage refunds and changes for the group. Where the Organiser permits refunds or modifications, requests must come from you as the buyer, not from the named Attendees individually. The Organiser may, at their discretion, work with the named Attendee directly in some cases

Each named Attendee retains their own data subject rights under our Privacy Policy. The Organiser remains the controller of all registration data, including the data you provide on others’ behalf. Where you have chosen centralised delivery, you are responsible for the consequences of any failure to forward Event communications to the named Attendees in your group.

7. Payment

7.1 Pricing is set by the Organiser

The price of each Ticket, including any Event-level taxes, service fees, or charges, is set by the Organiser and shown on the Event listing before you complete your purchase. Entryvent does not set Ticket prices.

7.2 Payment processing

Payments are processed through the payment provider that the Organiser has selected for their Event. There are two possibilities:

  • Entryvent Payment Gateway (EPG) — where the Organiser uses the Entryvent Payment Gateway, payment is collected by Entryvent on the Organiser’s behalf at the time of your purchase. We then pay the Organiser the amount due to them in accordance with our agreement with them. Entryvent is not the seller in this arrangement; we are the payment processor
  • Organiser’s own gateway — where the Organiser has configured their own payment provider (such as Stripe), payment goes directly from you to that provider on the Organiser’s behalf, governed by that provider’s terms

7.3 Currency

Ticket prices are typically displayed in AED. The Organiser may select a different display currency for their Event. The currency in which you are billed will be shown at checkout. If your card is denominated in a different currency, your bank or card issuer will apply its own foreign exchange rate and fees.

7.4 Receipts and invoices

You will receive a receipt for your purchase by email. The Organiser is responsible for issuing any tax invoice required under their local jurisdiction.

7.5 Failed and disputed payments

If your payment fails, you will not receive a Ticket. If you believe a payment has been taken in error, please contact the Organiser first; if the issue cannot be resolved with them, contact us at support@entryvent.com and we will assist as appropriate.

8. Refunds and cancellations

IMPORTANT

Refunds and cancellations are decided and processed by the Organiser, not by Entryvent. Please read the Organiser’s refund policy before completing your purchase.

8.1 Organiser-controlled

Each Organiser sets their own refund and cancellation policy for their Event, and that policy applies to your purchase. Some Organisers offer full refunds within a certain period; others offer partial refunds; others operate a no-refund policy. The Organiser’s policy is published on the Event listing or made available at registration.

8.2 How to request a refund

If you wish to request a refund or cancellation, contact the Organiser directly using the contact details on your registration confirmation. Refund decisions and refund payments are handled by the Organiser, not by Entryvent. For group registrations, refund and cancellation requests come from the buyer who paid, not from the named Attendees individually (see Section 6.5).

8.3 Event cancellation, postponement, or material change by the Organiser

If an Organiser cancels, postpones, or materially changes an Event, the Organiser is responsible for notifying you and applying their refund or rescheduling policy. Refunds, where the Organiser has agreed to provide them, are paid by the Organiser to you. Any settlement or recovery between the Organiser and Entryvent in connection with refunds is a matter between them under the Organiser Terms and is not your concern.

8.4 Where Entryvent terminates an Organiser’s access

If we terminate or suspend an Organiser’s access to the Service for any reason, the Organiser remains responsible for any refunds owed to you. Entryvent does not guarantee or underwrite refunds in this situation.

8.5 Chargebacks

Initiating a chargeback with your bank or card issuer should be a last resort, used only after attempting to resolve the issue with the Organiser. Chargebacks may result in additional fees, suspension of your Account, and recovery action by the Organiser or by us. We work with Organisers to respond to chargeback enquiries; for that reason, please respond promptly to any communication from us about a disputed transaction.

9. Tickets and admission

9.1 Your Ticket

Each Ticket is represented by a unique QR code linked to your registration. You will receive your Ticket by email after successful registration and payment. Some Organisers also issue printed badges at the Event.

9.2 Tickets are not transferable through the Service

Centra does not provide a feature for transferring or reselling Tickets between Attendees. Each Ticket is tied to the named Attendee on it (which, for group registrations, is the person whose details the buyer entered at the point of purchase, not the buyer). If you cannot attend an Event and need to give your Ticket to someone else, please contact the Organiser directly. The Organiser may, at their discretion, agree to manually re-issue or rename a Ticket; this is between you and the Organiser, and Entryvent has no role in it. Where the Organiser does not permit transfers, the Ticket cannot be used by anyone other than the named Attendee.

9.3 Admission is at the Organiser’s discretion

The Organiser controls admission to the Event. They may refuse entry or remove an Attendee who:

  • Cannot present a valid Ticket and matching identification where required
  • Does not meet eligibility requirements published for the Event (such as professional qualification for medical conferences)
  • Behaves in a way that violates the Organiser’s code of conduct or threatens the safety of others
  • Is otherwise refused entry under the Organiser’s published rules or applicable law

Refusal of entry on these grounds does not entitle you to a refund unless the Organiser’s refund policy provides otherwise.

9.4 Photography, recording, and Event content

The Organiser sets the rules for photography, audio and video recording, and use of Event content. Where the Organiser films or photographs the Event, you may appear in those recordings. Please refer to the Organiser’s privacy notice and Event rules for details.

10. Conduct at Events

When you attend an Event, you agree to:

  • Comply with the Organiser’s rules and any code of conduct they publish
  • Comply with the venue’s rules and applicable law
  • Treat other Attendees, exhibitors, speakers, and Event staff with respect
  • Not engage in harassment, discrimination, threatening behaviour, or any conduct that endangers others
  • Not bring prohibited items into the venue, and to comply with any security checks

Safety at the Event is primarily the responsibility of the Organiser and the venue. If you experience or witness unsafe or inappropriate conduct at an Event, raise it with the Organiser or the venue staff in the first instance, and contact local authorities where appropriate.

11. Acceptable use of the Service

When you use the Service, you agree not to:

  • Use the Service for any unlawful purpose or in breach of these Terms or our Community Guidelines
  • Misrepresent your identity or impersonate another person
  • Create or use Tickets in someone else’s name without their permission
  • Resell or attempt to resell Tickets in breach of Section 9.2
  • Use automated tools (bots, scrapers, crawlers) to access, copy, or interact with the Service except where we expressly permit it
  • Attempt to circumvent payment, registration limits, or any access controls
  • Upload viruses, malicious code, or anything that could harm the Service or other users
  • Reverse engineer, decompile, or attempt to extract the source code of the Service
  • Use the Service to send unsolicited communications to other users
  • Interfere with the Service’s operation or with other users’ use of it

If you violate these rules, we may suspend or terminate your access to the Service and take any other action available to us under these Terms or applicable law.

12. Your personal data

How we handle your personal data is set out in our Privacy Policy. In summary:

  • For data related to your registration for a specific Event, the Organiser is the controller. Their privacy notice applies. To exercise your data subject rights regarding that data, contact the Organiser
  • For data related to your entryvent.com Account (separate from any specific Event registration), Entryvent is the controller. To exercise your rights regarding Account data, contact us at privacy@entryvent.com
  • If your badge is scanned by an exhibitor at an Event, that exhibitor becomes an independent controller of the resulting lead data. See Section 14.3 of our Privacy Policy

13. Service availability and disclaimers

13.1 Service availability

We aim to keep the Service available at all times but do not guarantee uninterrupted access. The Service may be unavailable due to scheduled maintenance, technical issues, or events outside our reasonable control.

13.2 Service is provided “as is”

To the extent permitted by law, the Service is provided on an “as is” and “as available” basis. We do not warrant that the Service will meet your specific requirements, that it will be uninterrupted or error-free, or that any defects will be corrected.

13.3 No warranty for Events

Entryvent makes no representations or warranties about the quality, safety, legality, accuracy, or suitability of any Event. Each Organiser is responsible for their own Event. Marketplace listings reflect Organiser-provided content; we do not verify or endorse them.

14. Liability

14.1 What we are responsible for

We are responsible for providing the Service in accordance with these Terms. If we breach these Terms and you suffer loss as a direct result, we will be liable for that loss to the extent provided by law.

14.2 What we are not responsible for

To the maximum extent permitted by law, Entryvent is not liable for:

  • The Event itself, including its quality, safety, content, programme, or cancellation
  • The acts, omissions, or solvency of any Organiser, exhibitor, venue, or third party
  • Any indirect, incidental, special, consequential, or punitive losses, including loss of profits, data, opportunity, or goodwill
  • Refunds where the Organiser is responsible for paying them, or where we are unable to recover payment from the Organiser
  • Disputes between you and an Organiser, exhibitor, or other user of the Service

14.3 Our role is limited

Entryvent’s role is limited to providing the Service. Disputes about the Event itself, including refunds, attendance, Event quality, and any obligations the Organiser has to you, are between you and the Organiser. Where you have a claim relating to the Event rather than the Service, your recourse is against the Organiser, not Entryvent.

14.4 Nothing limits liability where it cannot be limited

Nothing in these Terms limits or excludes our liability where it cannot be limited or excluded by applicable law (such as for fraud, gross negligence, or wilful misconduct).

15. Suspension and termination

15.1 Your right to stop using the Service

You can stop using the Service or close your Account at any time. Closing your Account does not cancel Tickets already purchased and does not entitle you to a refund.

15.2 Our right to suspend or terminate

We may suspend or terminate your Account or access to the Service if:

  • You materially breach these Terms or our Community Guidelines
  • We have a reasonable belief that your conduct presents a fraud, security, or legal risk
  • We are required to do so by law or by a court order
  • You repeatedly initiate chargebacks without first attempting to resolve the issue with the Organiser

Where it is reasonable and lawful to do so, we will give you notice before suspending or terminating your access. Tickets you have already validly purchased will, where reasonably possible, remain usable; refund and cancellation rules in Section 8 continue to apply.

16. Changes to these Terms

We may update these Terms from time to time:

  • For minor changes (clarifications, formatting), we update the version number and effective date at the top
  • For material changes (your rights, fees, refund handling, governing law), we notify you at least 30 days in advance by email or in-product notification before the changes take effect

Your continued use of the Service after the changes take effect constitutes acceptance. If you do not agree to a material change, you may close your Account before the change takes effect; existing Tickets remain governed by the version of these Terms in force at the time of purchase.

17. Governing law and dispute resolution

TWO DIFFERENT KINDS OF DISPUTE

These Terms govern your relationship with Entryvent. They do not govern your relationship with the Organiser of an Event, which is a separate contract with its own governing law and forum (see Section 17.5).

17.1 Governing law for disputes with Entryvent

These Terms, and any dispute between you and Entryvent arising out of or in connection with these Terms or the Service, are governed by the laws of the United Arab Emirates as applied in the Emirate of Dubai, without regard to conflict of laws principles. Mandatory consumer protection laws of your country of residence may also apply where they cannot be excluded by contract.

17.2 Try to resolve issues with us first

If you have a dispute with us, please contact support@entryvent.com first so we can try to resolve it informally. Most issues can be sorted out this way without escalation.

17.3 Courts for disputes with Entryvent

If we cannot resolve the dispute informally, the courts of Dubai, UAE have exclusive jurisdiction over disputes between you and Entryvent, except where mandatory consumer protection law in your country of residence requires otherwise.

17.4 Disputes about the Service vs disputes about the Event

This Section 17 applies only to disputes about the Service (the platform Entryvent provides). Examples include payment processing on Centra, the operation of your Account, the Marketplace listing pages, and your interactions with Entryvent directly.

Disputes about an Event itself, including refunds, cancellation, attendance, programme, and the Organiser’s own conduct, are not governed by this Section 17. They are governed by the Organiser’s terms (see Section 17.5).

17.5 Disputes with the Organiser

Disputes about the Event itself are between you and the Organiser. The Organiser’s governing law and the courts that hear those disputes are determined by the Organiser’s own terms, which may be the law of the country where the Organiser is based, the country where the Event takes place, your country of residence (under mandatory consumer protection law), or another forum the Organiser has chosen. Entryvent is not party to that contract and does not determine its governing law or forum. Please refer to the Organiser’s terms before registering.

18. General

18.1 Entire agreement

These Terms, together with the Privacy Policy, the Community Guidelines, and any Organiser-specific terms presented at registration, form the entire agreement between you and Entryvent regarding the Service.

18.2 No waiver

If we do not enforce a right under these Terms in any particular case, that does not waive our right to enforce it later.

18.3 Severability

If any part of these Terms is found unenforceable, the rest remains in force.

18.4 Assignment

You may not assign or transfer these Terms or your rights under them. We may assign these Terms in connection with a merger, acquisition, or sale of substantially all of our assets, with notice to you.

18.5 Language

These Terms are issued in English. Where we provide a translation, the English version prevails in the event of any inconsistency.
